Job Summary:
We are looking for a sharp, highly organized Executive & Operations Assistant. This is a
three-part role: EA to the CEO, sales support to our growth team, and administrative and
financial support to our Finance & Accounting function.
The right person for this role is resourceful, proactive, and genuinely excited to use AI tools. You will own a wide range of responsibilities and will be trusted to operate with minimal hand-holding. You will sit at the center of the company and have direct visibility into how a high-growth healthcare company operates day to day.
Key Responsibilities:
Executive Support (CEO)
- Manage the CEO's calendar, scheduling, and meeting logistics
- Draft and edit executive communications including emails, memos, follow-ups, and
- proposals
- Prepare agendas, briefing materials, and recaps for key meetings and calls
- Coordinate travel arrangements, including flights, hotels, and itineraries
- Manage inbound requests and prioritize CEO time against strategic priorities
- Assist with board and investor materials as needed
- Handle personal logistics and projects at the CEO's direction
Sales Team Support
- Assist the Chief Growth Officer and sales team with CRM hygiene, pipeline tracking,
- and HubSpot data entry and reporting
- Prepare and format proposals, presentations, and RFP response materials
- Research prospects, compile contact lists, and support outreach sequencing
- Coordinate scheduling for sales calls, demos, and follow-ups
- Track action items and next steps from sales conversations and keep the team
- accountable to follow-through
- Support conference and event logistics, including registrations, materials, and
- scheduling
Finance & Accounting Support
- Provide administrative support to the company's Finance & Accounting function
- Manage incoming and outgoing office mail
- Maintain office supply inventory and coordinate procurement
- Update the team meeting agendas
- Coordinate employee recognition initiatives
- Organize and maintain financial records, contracts, and compliance documentation
- Assist with employee expense reimbursements and benefits administration
Qualifications:
- 3 to 5 years of experience in an executive assistant, operations coordinator, or similar
- multi-stakeholder support role
- Demonstrably AI-forward: you actively use tools like Claude, ChatGPT, or similar in
- your daily workflow to do your job better and faster. Be ready to show us how.
- Strong written communication skills. You can draft a clean, professional email without
- being asked twice.
- Highly organized with excellent attention to detail and the ability to juggle competing
- priorities without dropping the ball
- Experience with CRM systems, ideally HubSpot
- Comfortable with financial and accounting administrative tasks; you do not need to
- be an accountant but you need to be precise and trustworthy with numbers and
- documents
- Proactive by nature. You anticipate needs, flag issues before they become problems,
- and bring solutions, not just questions
- Healthcare industry experience is a plus, not a requirement
