The Impact You’ll Have

As an Event Coordinator, you will be the driving force behind executing events for the special event venue space at our Pittsburgh, PA. You’ll create seamless experiences, manage event logistics, and play a key role in building relationships that inspire repeat business and positive word-of-mouth. Reporting to the Director of Event Sales leadership, the ideal candidate for the Event Coordinator position requires organization skills, an eye for detail, and the ability to multi-task, prioritize, and delegate duties are imperative. Excellent communication skills are required to create productive relationships with vendors and sponsors, which is key to a successful career.
This position is located on-site at our Pittsburgh, PA property. The Event Coordinator is a part-time position (~30 hours/week) and pays $22.44/hour. This person will be required to work evenings, nights and weekends, based on the needs of the business and our guests.
What You'll Do
- Oversee all aspects of wedding and event planning, including venue setup, logistics, and day-of coordination to ensure flawless execution.
- Support the Director of Event Sales with conducting property tours and educating potential clients on our event spaces and potential.
- Build and maintain relationships with vendors, negotiate contracts, and secure permits as needed for food, beverage, décor, entertainment, and other services.
- Partner with property leadership and non-property teams to ensure alignment on event goals and deliverables.
- Serve as the point of contact for clients, responding to inquiries, resolving issues, and providing exceptional service throughout the planning and event execution process.
- Provide guidance and mentorship to property and non-property team members, as well as vendors, to ensure successful event execution.
- Additional duties and responsibilities, as assigned.
What It Takes
- 2-3+ years of experience in event management, hospitality, or related fields (experience with wedding events management is a plus)
- CMP, CSEP, CPCE or similar certifications a plus!
- Proficiency in project management, events or CRM software and tools is preferred
- Detail-orientation and a passion for delivering exceptional guest experiences to internal team members, clients and vendors alike
- Exceptional verbal and written communication skills and the ability to deliver a message clearly and professionally across varying levels of team members and external partners
- Ability to manage cross-functional relationships, competing priorities and time and resources proactively in a fast-paced, ever-changing environment
- Exceptional organizational and project management skills
