A Care Coordinator supports our growing patient population. This job involves onboarding new and expecting parents, gathering information for appointment booking and insurance verification, and helping patients stay involved and engaged throughout the pregnancy, birth, and postpartum journey.
The goal of this role is to promptly onboard all patients seeking care from Mahmee and match them with the appropriate line of care from our team with the highest level of compassion and customer service.
You will need experience and/or knowledge about:
- Maternal health and/or infant health
- Working alongside physicians, midwives, nurses, therapists, lactation consultants, nutritionists, and other health professionals in a collaborative fashion that supports patients’ needs and supports a comprehensive plan of care
- Healthcare-related office management or administrative work
- Health equity and cultural humility
You will need to have these skills:
- Excellent verbal and written communication and interpersonal skills
- Strong multi-tasking and problem-solving skills
- Organizational skills and adaptability (important in a growing company environment)
- Digital communication tools (messaging, email, video chat)
- Basic spreadsheet and document use (Google or equivalent)
- Electronic Health Record/Electronic Medical Record (EHR/EMR) or similar program
Technology skills:
Your responsibilities will include the following:
- Enrolling Patients and Receiving Referrals
- Answering/placing calls from/to patients and providers that promote trust, respect, inclusion, and empathy
- Gathering the information needed to onboard new patients
- Prompt follow-up with patients and providers to close the loop on outstanding questions and concerns
Scheduling
- Scheduling appointments
- Triaging patients and matching the patient to the appropriate type of care and time on the calendar
- Documenting patients' needs and any relevant information for the scheduled provider
Escalation of Concerns
- Prompt communication about patients' needs to the Mahmee team
- Processing physician’s orders; being in contact with outside physicians and referral partners to provide status updates on delivery of care and patient status
- Completing handoffs of any patients or action items to other team members to ensure continuity of care when your shift ends
Coordination
- Prompt response to patient and provider requests for assistance utilizing excellent communication skills with accessible and inclusive language
- Completing tasks in the Mahmee platform and responding to requests through other customer support channels
- Offering recommendations to patients about other resources available on the Mahmee platform such as classes, groups, or educational content
You are a very strong candidate if you are...
- A Lactation Educator (LE) or a Certified Doula (CD)
- Experienced with at least a year of work in a clinical setting (e.g. hospital, clinic, doctor’s office, etc.)
- A highly engaging individual with compassionate bedside manner toward new and expecting parents
- Excellent at active listening and connecting with persons of all types of ethnic and cultural backgrounds
- Confident in working alongside physicians, midwives, nurses, therapists, lactation consultants, nutritionists, and other health professionals, in a collaborative fashion that supports patients’ needs and provides a comprehensive plan of care
- Able to remain calm and exercise judgment in unusual or stressful situations
- Experienced with using some digital communication tools (messaging, email, video chat), and willing to try new workflows and tools

The position will typically be from Monday to Friday, 9 AM to 5:30 PM. Occasionally, you will be scheduled to work on some holidays and weekends.
