Specialist, Private Travel & Hotel Collection
JOB SUMMARY:
The Private Travel & Hotel Collection Specialist works with internal and external customers to support the Hotel, Alliance & Private Travel Collections. This position will primarily manage Member reservations and payment and billing with our Members, Hotels, Alliances and Private Travel partners. As well as create and manage the Hotel Collection budget, update internal documents and calendars on our website, offer timely support to the account management team and work directly with high end clientele/members. The Private Travel & Hotel Collection Specialist will also work in conjunction with the Private Travel Team to help manage unique trips for Club Members. This role is responsible for preparing quotes and proposals along with making and managing reservations for various experiences within our portfolio.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
- Team Support:
- Manage all communication between Exclusive Resorts Members and partner hotels and alliances to ensure accurate and timely information
- Work directly with vendors to obtain rates, quotes, and availability, and present the information to Exclusive Resort’s Members and account managers.
- Work as an accounting/billing Liaison between Private Travel, Members, Suppliers & Exclusive Resorts accounting department.
- Utilize preferred partner relationships and vendor contracts to get the best availability, rate and additional benefits to insure maximum access and highest service levels for our Members.
- Confirm guest reservations via phone, computer
- Update internal documents relating to trip information and details
- Create presentations for team training sessions and refreshers
- Update trip/destination calendars based on availability
- Work in conjunction with Marketing team to keep our website pages up to date
- Work in conjunction with the Private Travel team to support Member experience requests, quoting and daily tasks as requested by the Private Travel Manager
- Demonstrate encyclopedic knowledge of all Exclusive Resorts Private Travel trips to be able to help out with Private Travel Team responsibilities
- Hybrid work environment. 2-3 days in the Denver office is expected each week.
- Billing:
- Facilitate Member billing on a weekly basis (strong Excel skills)
- Facilitate partner billing on a weekly basis
- Create weekly revenue reports for finance
- Act as liaison with Accounting team and be a point of contact for billing needs and questions
QUALIFICATIONS:
- 3-5 years of experience as a travel agent or travel and hospitality.
- Bachelor's degree, or equivalent work experience, is preferred
- Organization and high level of attention to detail with ability to multitask
- Must be proficient in PowerPoint and have intermediate Excel skills.
- Must have strong math skills
- Must be comfortable working directly with high end clientele/Members
- Perform as a team-player, participate in all activities contributing to the overall objectives of the department
- Must be able to learn quickly, adapt to changing circumstances, and be comfortable working from a home office
- Must have a “can-do” attitude and be naturally resourceful
- Must be detail oriented with highly professional communication skills
- Must be able to build trust and credibility with Members, co-workers and vendors
- You should be highly motivated, passionate, and memorable and work well as part of a team.
- International & domestic travel is expected. Between 7 and 14 days annually.
