POSITION DESCRIPTION:

The Office Administrator plays a vital role in the daytoday operations of Exclusive Resorts. This position ensures a smooth, welcoming, and wellorganized workplace by overseeing frontdesk activities, office supplies, vendor relationships, facilities coordination, and administrative support across multiple departments. Serving as the primary point of contact for all officerelated needs, the Office Administrator helps maintain a positive experience for both employees and guests. This role reports to the Vice President, Human Resources.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:

  1. Create a warm, professional, and welcoming environment for employees, guests, and vendors
  2. Manage frontdesk responsibilities, including greeting visitors, answering and directing calls, and monitoring voicemail
  3. Oversee conference room scheduling, guest office reservations, and frontdesk coverage during breaks or absences
  4. Maintain common areas, kitchen/break room equipment, and general office organization
  5. Process incoming mail and packages; log deliveries and obtain employee signatures
  6. Manage company FedEx accounts and outgoing shipments
  7. Monitor, order, and restock general office supplies
  8. Serve as the primary contact for building maintenance issues; coordinate with McGregor Square for timely resolution
  9. Manage employee access fobs and maintain accurate records
  10. Communicate building and office updates to employee
  11. Generate, code, and audit invoices for HR and Office functions; maintain RAMP account accuracy
  12. Support company gift ordering, tracking, and vendor relationships
  13. Order and distribute snacks
  14. Coordinate office catering within budget
  15. Create and maintain company organizational charts
  16. Recommend improvements to office procedures and workflows
  17. Perform additional duties as assigned

EDUCATION, SKILLS, AND EXPERIENCE:

  1. 2–3 years of experience in office management or a related administrative role, or an equivalent combination of education and experience
  2. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, etc.)
  3. Strong ability to manage calls, visitors, staff requests, and daily office needs with professionalism and service orientation
  4. Selfstarter with the ability to work independently, prioritize competing demands, and handle lastminute requests
  5. Comfortable managing multiple tasks in a fastpaced environment with frequent interruptions
  6. Strong problemsolving skills, attention to detail, and accuracy
  7. High initiative and a collaborative mindset
  8. Ability to manage inbound calls, office visitors, staff requests, daily office responsibilities, and project assignments with equal levels of service and professionalism
  9. Ability to focus on multiple tasks with frequent interruptions
  10. Problem analysis and problem-solving skills
  11. Attention to detail and accuracy
  12. High level of initiative and works well in a team environment
  13. Plans and carries out responsibilities with minimal direction
